Vestry March Minutes

April 22, 2015

The March 10, 2015 meeting of Calvary Episcopal Church was called to order by Fr Jon Roberts at 6:40 PM in the front “youth” classroom in the parish hall. Julie Heinicka and Jo Simpson were excused.  Jerry Brewer was absent.. All other members were present.


Parish Prayer – We prayed our Calvary parish prayer and special prayers were asked for those in need of healing and spiritual strength especially all those who are on our Calvary Prayer List.    




Meeting Minutes:  Judy Marx stated that the February minutes needed to be amended.  On page 1 under Stewardship in the February 10th minutes, the first sentence should read “Fr. Roberts reported that the amount received in pledges so far is $180,000.  This figure should be $168,000. Cathy Athanson made a motion to accept the minutes from the February 10, 2015 as amended.  Chuck Pond seconded and the motion carried.


“Think Win-Win” – Cathy Athanson/Jo Simpson – Cathy stated in her leadership presentation that “Win-Win” isn’t about being nice but that it is a character-based code for human interaction and collaboration.  She said that Cherie Smith was a perfect example of “Win-Win” leadership in her planning and execution of our recent Winterfest.  There must be oversite and monitoring of every detail.   Our self-worth is developed by competition or comparison – you win or you lose.  A person or organization that approaches conflicts with a “Win-Win” attitude possesses three vital character traits: 1) Integrity – sticking with your true feelings, values or commitments; 2) Maturity – expressing your ideas and feelings with courage and consideration for the feelings of others; and 3) Abundance Mentality – believing there is plenty for everyone.  



Glenn Bradley stated that the Finance Committee had an excellent meeting on March 9th.  Cherie Smith stated that the Finance Committee need to be given viewing privileges for our Merrill Lynch account.  Cathy Athanson made a motion that Mike Alford, Kevin Oeste, Cherie Smith, Greg Donham, Maria McDaniel/Gonzales, and Glenn Bradley be given viewing privileges for Calvary’s Merrill Lynch account.  Cynthia Laitinen seconded and the motion carried.  Glenn Bradley and Fr. Roberts stressed the need to find a Treasurer as soon as possible.  We all need to be diligent in this search.  Chuck Pond made a motion to add Cherie Smith to the list of those who are able to sign checks for the Calvary checking account.  Derek Good seconded and the motion carried.  Cherie Smith stated that the transition from Church Windows to Quick Book for Churches is going well.  She stated that there was discussion at the Finance Committee meeting about  drawing up contracts for renting our church facilities both to members and non/members.  A committee will be appointed to draw up these contracts as soon as possible because we have had inquiries about the use of our facilities.  Cherie also suggested that we change our vestry meetings to the 3rd Tuesdays rather than the 2nd Tuesdays so we will have our financial reports for the meetings.  Fr. Roberts stated that Laurie Lawther needs to have a Calvary credit card in order to purchase church supplies.  This request will go to the Finance Committee for their recommendation.






Judy Marx passed the sign-up sheet for the Maundy Thursday vigil around for vestry members to sign up to pray for an hour that evening.  We need at least two people in the chapel praying from when the service finishes until Stations of the Cross at 8 AM Good Friday morning.  She stated that it is very important that we as vestry members be present at all services during Holy Week,  We have been elected by the parish and we need to be visible.  The Holy Week schedule is on page 10 in the March Crier.


Christian Education

Dianne Oeste reported that Susan Lewis is now helping with the children’s chapel.  We have new children and all is going very well.  She stated that she would like to have a bulletin board strictly for youth activities.  This will be arranged.                                                     



Derek Good stated he and Cyndi need vestry articles and photo submissions for the Crier.  The deadline for the April Crier is March 26th.  Please get these articles to them on time so they are able to do their job.  There were many compliments in the Crier.



Cynthia Laitinen stated that we have had many opportunities for fellowship in the past two months and all activities have gone very well.



Chuck Pond urged us to invite a friend to any parish activity or service.  He stated that the Calvary Men’s Club is holding a spaghetti dinner on April 23rd in the parish hall.  The tickets will be $10 for adults and $5 for children 12 and under.  This is a wonderful time to invite a friend and introduce them to Calvary.  He said we need to be intentional about welcoming those who appear to be new – make them feel welcome.



In Jerry Brewer’s absence, Fr. Roberts reminded us that there is a property clean-up day on Saturday, March 28th from 9 – 12.  There will be a list of items that need to be addressed.  The Altar Guild will be here making palm crosses at that time as well.


Old Business:

Securing God’s House

Fr. Roberts passed a sheet around for vestry members to sign up to lock the church on Sundays.  Those who have signed up so far are:  March 15 – Cherie Smith; March 22 Concert (evening) – Cherie Smith; March 29 – Chuck Pond; April 5 – Fr. Roberts; April 12 – Chuck Pond; April 19th – Chuck Pond; April 26 – Jim Yanacheck; May 3 – Derek Good; May 10 – Judy Marx.  There are still spots that need to be filled and we should all know how to secure the church. 



When asked, Cherie Smith stated that we made a little over $12,000 on Winterfest.  The final figures will be available in about a month.  Some of this will go into the community.  The final decision will rest with the vestry.  $10,500 was budgeted for this project so it was a huge success.  The vestry expressed thanks to Cherie Smith and her committees.


Vestry Appointments

Fr. Roberts has met with all commissions except two and these two meetings are scheduled.


New Business:

Crier Deadline – The next Crier deadline is March 26th.

Next Executive Committee and Vestry Meeting – April 21, 2015  (6/6:30 pm)  Please note that this is the 3rd Tuesday which is when we will hold our meetings from now on.


Closing Prayer

Fr. Roberts led us in singing the Doxology.  The meeting was adjourned at 8:00 PM.
