VESTRY MEETING MINUTES
MARCH 12, 2018
Call to Order – Fr Roberts called the meeting to order at 6 P.M.
Attendance/Quorum – Present were Fr Roberts, Elyssa Coker, Kim Heinicka, David Kline, Karen Hillegas, Bob Lima, JoAnn Martindale, Margaret Richcreek, Rick Schock, Jim Widell and Penny Yanachek. Mike Alford and Renee Lee were excused. Guests attending were Greg Donham, Cherie Smith and Matthew Burke. A quorum was present.
Rick Schock, Leadership, led us in prayer and presented a devotional message. He explained that Jesus had a leadership succession plan - his disciples. “We are the clay, HE is the potter”.
Rector’s Report: Fr Roberts stated that he is very pleased with the overall operations of various committees and commissions in the Church; Properties, Stewardship (Finance), Outreach (22 visitor welcome letters were written in January) and Connections (utilization of the CROSS). Initiatives which he launched in January are on the way to completion.
Financial Report – No Financial Report was presented. Greg Donham, Finance Committee member, explained that the software transition has delayed said report. He stated that, while income is near the projected estimate, the church budget is still in a deficit situation as approved by the congregation at the Annual Meeting. The Committee is realigning Calvary’s accounts to the Diocesan guidelines, working toward full transparency, and the audit is on schedule to begin in late April or early May. He advised that a Financial Report will be available for the April Vestry Meeting.
Old Business – The Vestry Retreat Minutes of February 10, 2018 were presented for approval. Rick Schock made a motion to approve the minutes as presented. Penny Yanachek seconded the motion. The minutes were approved.
Clergy Housing Allowance Annual Resolution – The allowance of $27764.00 for fiscal year 2018 was presented. Rick Schock made a motion to accept the resolution. Jim Widell seconded the motion. The resolution was accepted.
New Business - Winterfest Report: Cherie Smith, Winterfest co-chair, reported the following: Total Income $19689.85 Expenses $3844.75 Net Profit $15845.10 Cherie requested that $2000.00 of the Winterfest profits be allocated to mission-based organizations. The committee is recommending IRB Green Town for Kids, Cursillo, the Shoebox Ministry and Dayspring Youth Camp Scholarships. A discussion followed. Rick Schock made a motion that $1500.00 be allocated to the Vestry’s Mission Commission for distribution as they see fit, while keeping the Winterfest committee’s recommendations in mind. The Commission will report back to the Vestry. Margaret Richcreek seconded the motion. Motion passed.
Matthew Burke, Calvary’s Music Director, approached the Vestry to report on the condition of the organ in the sanctuary. It is nearing 30 years old, not in good condition and has several negative issues affecting its performance. The Church currently has a new Italian-designed state of the art organ on loan. Matt has been using that organ for the past few weeks and has received positive feedback from the parish. Matt asked the Vestry to consider the purchasing this new organ at an approximate cost of $55000.00. Greg Donham suggested there are several financial avenues available for this purchase which could investigated by the Finance Committee, keeping in mind the need for two (2) additional bids before advising the Vestry. Following discussion, the Vestry agreed to ask the FC to proceed and to keep the Vestry advised.
2018 Diocesan Report - Fr Roberts presented the completed document for approval. Margaret Richcreek made a motion to approve the 2018 Diocesan Report. Elyssa Coker seconded the motion. Motion passed.
Indian Rocks Family Sailing Association, Inc. – Fr Roberts advised he has notified the association it is no longer obligatory for Calvary to be represented on its board. The association has moved its operations to Clearwater Yacht Club.
Property: Kim Heinicka presented a detailed report on our building and grounds. He advised us that an a/c unit we were using and hoping to keep has expired, this as another unit is being replaced this week. Kim brought to our attention many church members working behind the scenes, helping out wherever there is need. He personally thanked them.
Missions: David Kline announced the date for the Food Pantry’s second annual “Celebration of Giving”. Because this year’s event will honor volunteers of the Food Pantry, he will be asking Fellowship to provide assistance on the night of Saturday, April 7. He was pleased to announce the success of the Pantry, both in areas of finance and voluntarism.
Pastoral Care: Jim Widell reported he is currently in the process of contacting Calvary’s shut-ins to insure they are being served by the church. He asked that the Vestry members consider becoming Lay Eucharistic Ministers as he feels there will be that need. David Kline interjected if Jim sees a need for assistance from the Food Pantry to notify him.
Announcements: Fr Roberts announced Holy Week begins with Palm Sunday services on March 25th, Easter being on April 1.
He also advised members to notify the office if traveling out of state.
