VESTRY RETREAT

February 10, 2018

“Be Thou My Vision”

 

Welcome and Opening Prayer – Fr. Roberts welcomed members present:  Deacon Melissa, Mike Alford, Elyssa Coker, Kim Heinicka, David Kline, Renee Lee, Bob Lima, JoAnn Martindale, Margaret Richcreek, Rick Schock, Penny Yanacheck, and Karen Hillegas.  Jim Widell was excused.  Matt Burke, Music Director, attended our opening and lead us in song.   After an opening prayer the group participated in an “icebreaker” exercise lead by Fr. Jon.  Matt than led us in a final hymn: “Be Thou My Vision”, our theme for the retreat.

 

Upon adjourning to the Conference Room, Mike Alford announced Marilyn Clark’s resignation from the Vestry.  Karen Hillegas, Clerk of the Vestry, agreed to serve Marilyn’s unexpired term if approved by the membership.    JoAnn Martindale made a motion to accept Karen Hillegas as a member of the vestry.  Penny Yanacheck seconded the motion.  Motion passed.

 

The Ten Great Commissions – Fr. Roberts asked members to reflect on accomplishments of 2017 and focus on goals for 2018.  The commissions are: Christian Education, Connections, Fellowship, Leadership, Missions, Outreach, Pastoral Care, Property, Stewardship and Worship.  He referred to Calvary’s Mission Statement: “TO KNOW CHRIST AND MAKE HIM KNOWN”, accomplishing such through the sacraments, gospel, Christian fellowship and personal spiritual growth.  “Live not only for ourselves, but for ALL God’s children.  Focus on spiritual commissions and services.  We discussed the demographics of Calvary as to its increases or decreases of members and attendance.  He stressed that he has available an extensive personal library of resources and asked that we make use of the Vestry Handbook.  Commission leadership positions were then selected for 2018 as follows:

Worship:  Mike Alford and Karen Hillegas

Property:  Kim Heinicka

Christian Education:  Elyssa Coker

Connections:  Renee Lee

Fellowship: Margaret Richcreek

Leadership: Rick Schock

Missions:  David Kline and JoAnn Martindale

Outreach: Penny Yanacheck

Pastoral Care: Jim Widell

Stewardship: Bob Lima

 

The CROSS – Calvary Resources on Shared Server – Fr. Roberts led a detailed discussion on this drop box tool.  Calvary is implementing this resource and he stressed the importance of Vestry members using this access to data available to help us better serve the church.  All financials, meeting minutes, contracts, etc. will be available as view only from this site. Once all records have been scanned into this system, there will be complete transparency as to the workings of the Church.  All members agreed to use the system going forward.

 

OLD BUSINESS -  The Vestry Roster and Calendar were reviewed and corrected as necessary.  The announcement and securing of building calendar is set through May.

The Clergy Housing Resolution was again tabled until pertinent financial information is received from the Finance Committee.

 

The Diocesan Apportionment Rebate – The Vestry voted to send to the Finance Committee its recommendation the funds be allocated as follows:  $151, or 10%, to the Endowment Fund with the remaining $1356 to Youth Programs.  It was agreed, also, to send a proposal to the Finance Committee that, going forward, 10% of unrestricted monetary gifts be allocated to the Endowment Fund. 

 

APPROVAL OF JANUARY MINUTES – Mike Alford made a motion to accept the January 8 Meeting minutes.  David Kline seconded.  Motion passed; Rick Schock made a motion to accept the January 14 Special Budget Meeting minutes.  Kim  Heinicka seconded.  Motion passed; Rick Schock made a motion to accept the 2018 Annual Meeting minutes.  Penny Yanacheck seconded.  Motion passed; David Kline made a motion to accept the January 28 Vestry Meeting minutes.   Renee Lee seconded.  Motion passed.

 

OTHER BUSINESS – Mike Alford presented a Merrill Lynch trading authorization document for approval granting Janie Small, Mike Alford and Greg Donham authority to direct trading.  JoAnn Martindale made a motion to accept said document authorization.  Kim Heinicka seconded.  Motion passed.

Kim Heinicka, Jr. Warden, distributed keys to the new members and conducted a walk-through of the securing the building.                                                                           

 

FINAL NOTES – Plans were finalized for the November Retreat being held at Dayspring.  The dates are Friday and Saturday, November 9-10.  Evaleon Marilyn Hill will be a guest speaker.

The meeting was adjourned to our beautiful dock area where a group picture was taken.  We ended the session lunching together.
